Booking Terms

These terms apply to all bookings of Whippylicious ice cream van services. By paying the deposit you confirm acceptance of these terms.

1. Reservation

  • A 20% non-refundable deposit is required to confirm and secure your booking.
  • Once paid, your event date and time are reserved exclusively for you.

2. Final payment

  • The remaining 80% is due no later than 7 days before the event.
  • We accept cash, bank transfer and all major cards (contactless, Apple Pay, Google Pay).

3. Cancellation

  • The 20% deposit is strictly non-refundable in all circumstances.
  • Cancellations more than 7 days before the event: no further charge beyond the deposit.
  • Cancellations within 7 days: the full balance becomes due.

4. Rescheduling

  • Free rescheduling is available up to 7 days before the event, subject to our availability on the new date.
  • Within 7 days, rescheduling is treated as a cancellation followed by a new booking (a new deposit applies).

5. Coverage area & travel

  • We are based in Manchester and serve nationwide across the UK.
  • Events beyond a 25-mile radius from Manchester may incur a mileage fee, which is always included transparently in your quote.

6. Set-up requirements

  • Level access for the van and a minimum 4m × 6m flat parking space at the venue are required.
  • We arrive 30–45 minutes before service for set-up.
  • Our van runs on its own quiet generator — no external power is required.

7. Force majeure

  • We reserve the right to reschedule (or refund the deposit less reasonable admin costs) in the event of severe weather, vehicle breakdown, or other circumstances genuinely beyond our control.
  • We will always communicate as early as possible and offer the next available date.

8. Liability & insurance

  • Whippylicious carries full public liability insurance.
  • Risk assessments and method statements are available on request for venues that require them.
  • We hold a Food Hygiene Rating of 5 (Very Good) issued by the UK Food Standards Agency.

9. Allergens & dietary information

  • Allergen information is available on request and at the point of service.
  • Vegan and gluten-free options are available — please request in advance.
  • We cannot guarantee a 100% nut-free or gluten-free environment.

10. Photography & marketing

  • We may take photos at your event for marketing purposes (van setup, products, anonymised crowd shots).
  • If you would prefer no photos, please tell us in advance and we will respect your wishes.

11. Changes to your booking

  • Changes to the time, location, or expected guest count must be confirmed in writing at least 48 hours before the event.
  • Significant changes may require a revised quote.

12. Governing law

  • These terms are governed by the laws of England and Wales.

Paying the 20% deposit constitutes acceptance of these terms.
